We provide subscription-based and contingency recruitment services to real estate principals, agencies, and candidates across Australia.<\/li>\n<li>We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), which regulate the collection, use, and disclosure of personal information. It applies to:\n<ul>\n<li>All candidates and individuals seeking employment through VREC<\/li>\n<li>Existing and prospective client contacts at real estate agencies<\/li>\n<li>Referees nominated by candidates<\/li>\n<li>Suppliers and service providers<\/li>\n<li>Visitors to our website (vrecruitment.com.au)<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<h3>3.\u00a0 What is Personal Information?<\/h3>\n<p>1. Personal information is any information that can be used to identify you &#8211; including information or an opinion about you (whether true or not, and however recorded). This includes information collected directly from you or provided to us by a third party.<\/p>\n<h3>4.\u00a0 Why Do We Collect Personal Information?<\/h3>\n<ol>\n<li>We collect personal information for the following purposes:\n<ul>\n<li>To lawfully carry out our recruitment functions and activities<\/li>\n<li>To deliver the services you have requested, including subscription recruitment plans<\/li>\n<li>To prepare and present candidate proposals to prospective employers, with your consent<\/li>\n<li>To personalise and improve your experience with us<\/li>\n<li>To communicate effectively with candidates and clients<\/li>\n<li>For administrative purposes including billing and account management<\/li>\n<li>To promote and market our services where you have not opted out<\/li>\n<li>To assess candidates for current and future roles in the real estate industry<\/li>\n<li>To receive services from suppliers or the organisations that employ you<\/li>\n<\/ul>\n<\/li>\n<li>We may also collect, hold, use, and\/or disclose personal information where required or authorised under law, or with your consent.<\/li>\n<\/ol>\n<h3>5.\u00a0 What Personal Information Do We Collect?<\/h3>\n<ol>\n<li>We collect personal information that is reasonably necessary for one or more of our functions or activities. The type of information we collect depends on your relationship with us.<\/li>\n<\/ol>\n<h4>Candidates<\/h4>\n<p>2. If you are a candidate seeking employment services through VREC, we may collect:<\/p>\n<ul>\n<li>\n<ul>\n<li>Full name, address, email address, and contact telephone number<\/li>\n<li>Employment history, work experience, and resume\/CV<\/li>\n<li>Qualifications, licences (including real estate licence details), and professional certifications<\/li>\n<li>References and referee contact details<\/li>\n<li>Salary expectations and remuneration history<\/li>\n<li>Right to work documentation and identity verification (e.g. 100 points of ID)<\/li>\n<li>Skills, performance history, and professional achievements<\/li>\n<li>Any other information voluntarily provided during the recruitment process<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h4>Client Contacts<\/h4>\n<p>3. If you are a contact at a real estate agency engaging our services, we may collect:<\/p>\n<ul>\n<li>\n<ul>\n<li>Name, job title, and professional contact details<\/li>\n<li>Agency name, office locations, and ABN<\/li>\n<li>Business requirements and staffing needs<\/li>\n<li>Subscription plan details and billing information<\/li>\n<li>Communications and correspondence history<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h4>Suppliers<\/h4>\n<p>4. If you are a supplier to VREC, we may collect your name, contact details, business records, billing information, and information about the goods or services you provide.<\/p>\n<h4>Sensitive Information<\/h4>\n<p>5. We will only collect sensitive information (including information about racial or ethnic origin, health, criminal record, or similar matters) where you have consented and the information is reasonably necessary for our functions. If you consider any information we request to be information you do not wish to provide, please raise this with us directly.<\/p>\n<h3>6.\u00a0 How Do We Collect Personal Information?<\/h3>\n<ol>\n<li>We collect personal information by lawful and fair means, directly from you where it is reasonable and practical to do so. We may collect personal information through:\n<ul>\n<li>Application forms submitted via our website or candidate portal (ApplyFlow)<\/li>\n<li>Email, phone, or in-person communication<\/li>\n<li>Contracts and signed agreements<\/li>\n<li>Third-party job platforms including SEEK and similar services<\/li>\n<li>Publicly available sources including LinkedIn and other professional networks<\/li>\n<li>Referral partners and industry contacts<\/li>\n<li>Our candidate management and CRM systems (including JobAdder)<\/li>\n<\/ul>\n<\/li>\n<li>When we collect personal information from publicly available sources, such information is managed in accordance with the APPs.<\/li>\n<li>Unsolicited Personal Information: If we receive personal information that we did not request, we will assess whether we could have collected it under the APPs. If not, we will destroy or de-identify the information as soon as practicable.<\/li>\n<\/ol>\n<h3>7.\u00a0 How Do We Use Personal Information?<\/h3>\n<ol>\n<li>We will only use and disclose your personal information for the purposes for which it was collected (as described in Section 4), or with your consent, and in accordance with this Privacy Policy and the Privacy Act.<\/li>\n<li>We will not use your personal information for any purpose for which you would not reasonably expect us to use it. We will not disclose sensitive information without your consent, unless required by law.<\/li>\n<\/ol>\n<h3>8.\u00a0 Candidate Proposals and Disclosure to Employers<\/h3>\n<ol>\n<li>A core part of our service involves preparing candidate proposals and presenting candidate profiles to our client agencies. Before presenting your information to any prospective employer, we will:\n<ul>\n<li>Obtain your express consent to submit your profile to that specific employer<\/li>\n<li>Advise you of the identity of the employer where possible, subject to confidentiality obligations<\/li>\n<li>Ensure your information is presented accurately and professionally<\/li>\n<\/ul>\n<\/li>\n<li>We do not sell candidate data to any third party. We do not share your personal information with any party beyond those directly involved in the recruitment process without your knowledge and consent, except where required by law.<\/li>\n<li>Before disclosing your personal information to any third party, we will take reasonable steps to ensure that party does not breach the APPs in relation to your information.<\/li>\n<\/ol>\n<h3>9.\u00a0 Direct Marketing<\/h3>\n<ol>\n<li>We may use or disclose personal information (other than sensitive information) for the purpose of direct marketing, such as advising you of new services, market updates, or relevant industry information.<\/li>\n<li>We may only use sensitive information for direct marketing purposes if you have expressly consented.<\/li>\n<li>You may opt out of receiving direct marketing communications at any time by contacting the Privacy Officer in writing (see Section 17) or by using the unsubscribe function on any of our communications.<\/li>\n<\/ol>\n<h3>10.\u00a0 Anonymity and Pseudonymity<\/h3>\n<ol>\n<li>You are not obliged to provide us with your personal information. If you would like to engage with us on an anonymous or pseudonymous basis, we will take reasonable steps to accommodate your request. However, we may require you to identify yourself if:\n<ul>\n<li>We are required by law to deal with identified individuals; or<\/li>\n<li>It is impracticable to provide services without identifying you &#8211; for example, when submitting your profile for interview with a client.<\/li>\n<\/ul>\n<\/li>\n<li>Please be aware that a request for anonymity or use of a pseudonym may affect our ability to provide you with the full scope of our recruitment services.<\/li>\n<\/ol>\n<h3>11.\u00a0 Overseas Disclosure<\/h3>\n<ol>\n<li>We may disclose personal information to overseas recipients, including third-party platform and cloud service providers used in the delivery of our services.<\/li>\n<li>Before disclosing personal information to any overseas recipient, we will take steps that are reasonable in the circumstances to ensure that the recipient does not breach the APPs in relation to your information.<\/li>\n<li>Countries in which recipients may be located include but are not limited to:\n<ul>\n<li>Asia Pacific<\/li>\n<li>Europe \/ United Kingdom<\/li>\n<li>United States of America<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<h3>12.\u00a0 Storage and Security of Personal Information<\/h3>\n<ol>\n<li>We will take reasonable steps to ensure that the personal information we collect is accurate, up-to-date, and complete.<\/li>\n<li>We will take reasonable steps to protect personal information from misuse, interference, loss, and from unauthorised access, modification, or disclosure. Our security measures include:\n<ul>\n<li>Password-protected systems and access controls<\/li>\n<li>Use of reputable third-party platforms for candidate and client data management<\/li>\n<li>Restricted internal access on a need-to-know basis<\/li>\n<li>Secure disposal of records no longer required<\/li>\n<\/ul>\n<\/li>\n<li>While we take these precautions, no data transmission over the internet or electronic storage system can be guaranteed as completely secure. We are not liable for any unauthorised access beyond our reasonable control.<\/li>\n<li>If we no longer require personal information for any purpose for which it may be used or disclosed, and we are not required by law to retain it, we will take reasonable steps to destroy or de-identify the information.<\/li>\n<\/ol>\n<h3>13.\u00a0 Retention of Personal Information<\/h3>\n<ol>\n<li>We retain personal information for as long as necessary to fulfil the purposes for which it was collected, or as required by law. In practice:\n<ul>\n<li>Active candidate profiles are retained while you remain in our talent pipeline or engaged in a placement process<\/li>\n<li>Placed candidate records are retained for a minimum period consistent with any applicable guarantee period under our service agreements<\/li>\n<li>Client records are retained for the duration of the client relationship and for a reasonable period thereafter<\/li>\n<\/ul>\n<\/li>\n<li>You may request deletion of your personal information at any time (see Section 14). We will comply where we are not legally required to retain the information.<\/li>\n<\/ol>\n<h3>14.\u00a0 Access to Your Personal Information<\/h3>\n<ol>\n<li>If we hold personal information about you, you may request access to that information by putting the request in writing and sending it to the Privacy Officer (see Section 17). We will respond within a reasonable period. A charge may apply for providing access in certain circumstances.<\/li>\n<li>There are circumstances in which we may be required to refuse access. In such cases we will provide written notice setting out:\n<ul>\n<li>The reasons for the refusal; and<\/li>\n<li>The mechanisms available to you to make a complaint.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<h3>15.\u00a0 Correction of Personal Information<\/h3>\n<ol>\n<li>If we hold personal information about you that is inaccurate, out-of-date, incomplete, irrelevant, or misleading, we will take reasonable steps to correct it.<\/li>\n<li>You may request correction by writing to the Privacy Officer (see Section 17). We will respond within a reasonable period.<\/li>\n<li>There are circumstances in which we may refuse to correct personal information. In such cases we will provide written notice setting out the reasons and available complaint mechanisms.<\/li>\n<li>If we correct personal information that has previously been supplied to a third party and you request us to notify that party, we will take reasonable steps to provide that notification unless impracticable or unlawful to do so.<\/li>\n<\/ol>\n<h3>16.\u00a0 Privacy Complaints<\/h3>\n<ol>\n<li>You have a right to complain about our handling of your personal information if you believe we have breached the APPs.<\/li>\n<li>If you wish to make a complaint, please contact the Privacy Officer in writing in the first instance.
